Privacy Notice

 

1.     What data is collected

 

Systec is a Controller of the personal data that you provide us. Depending on the nature of the services required,  personal data collected relates to your names, phone number, residential address, country of residence, and email address, CCTV Footage and business data.

 

Personal information is collected with your permission when a request is submitted online, telephonically, via a form or via email to Systec.

 

 

 

2.     Why is the data collected

 

Your personal data is required for the following reasons:

 

  • When entering into a contractual agreement to provide you with any of the requested products/service, and  manage our relationship in terms of notifications, and invoicing in line with the contractual agreement. Without such information we would not be in a position to provide you with the requested services.
  • For monitoring purposes when visiting our offices through CCTV footage. This is required for insurance purposes.
  • For communication with you relating to awareness sessions/seminars/webinars, events that you may be registered for and for which you would have provided consent.
  • To comply with any legal obligations as applicable to the company.

 

 

3.     What we do with it

 

Systec collects and processes personal data in accordance with the provisions of the Personal Data Protection Act (GDPR, Data Protection Act (Chapter 586) and other regulations in force in Malta and the European Union. Personal Data collected will only be processed for the purposes of service delivery as well to comply with any legal/regulatory obligation imposed in the company and is processed in the following manner:

 

  • Your identity details such as your name, surname, address, nationality, (what else) 
for identity verification purposes and credit worthiness verification.
  •  Your contact information such as your email address, physical address, telephone and mobile numbers for billing purposes, debt collection, and notifications as specified in the contractual agreement.
  • Your bank account details and other financial information to verify credit worthiness.
  • Any Information you provide to us for the purposes of attending meetings or events;
  • CCTV footage, when you visit our offices to monitor for security reasons relating break-ins and any mis-conduct and health and safety reasons.
  • Personal data may also be processed as a result of legal obligations relevant to our company

 

  • To inform you of any products or other services should you provide us with explicit consent to do so.

 

Your personal data is processed in Centenary House, 172, Cannon Road, Santa Venera, located in Malta. Hosting and storage of your data takes place in Centenary House, which is located in Malta.

 

Your personal data shall not be disclosed to third parties without your express consent, except under legal obligation. More specifically, your personal data shall not be transmitted or provided to third parties outside the European Union without your express consent, except under legal obligation.

 

The personal data you provided may be transmitted to our related companies and/or partners when this is deemed necessary for the following purposes:

  • Analyse credit worthiness
  • To comply with regulatory requirements as are applicable to the Company

 

In such cases, we shall ensure that our partners and/or related companies take over the responsibility to protect personal data to an extent equal to that guaranteed in this Privacy Notice as well as our Privacy Policy.

 

Your personal data (including your email) will never be shared intentionally with any third parties for marketing purposes.

 

All electronically collected data is electronically stored, and appropriate measures and procedures are applied in order to prevent unauthorized access, maintain the level of personal data protection and use the data collected online in a correct manner. Similarly, all data collected through agreements or signed forms, are stored with the appropriate measures and procedures are applied in order to prevent unauthorized access, maintain the level of personal data protection and use the data collected in a correct manner

 

 

4.     How long we keep it

 

Personal data is exclusively retained for duration of the service delivery and in line with any applicable legal obligations. After this period, your personal data will be irreversibly destroyed. Any personal data held by us for marketing and service update notifications as requested by you, will be kept by us until such time that you notify us that you no longer wish to receive this information.

 

As a result of legal obligations imposed on the company, personal data which may be included in invoices, credit notes and similar transactional documents  will be retained for a period of up to 10 years from the finalisation of the relevant transaction.

 

If we have a contractual relationship with you and we do not have any legal obligation to retain such information,  we typically retain your personal data for up to five (5) years from the end of the contractual relationship on the basis of our legitimate interests to protect ourselves (define any cases if this is applicable).

 

Any personal data which We may hold on the basis of your consent shall be retained exclusively until when you withdraw your consent.

 

 

5.     What are your rights?

 

As a data subject, you have the right to view and receive a copy of personal data that the company holds of you. Should you believe that any personal data we hold on you is incorrect or incomplete, you have the ability to request to see this information, rectify it or have it deleted. You also have the right to object to processing of information or withdraw consent of processing, in the case  where there is no legal obligation for us to do so. In the event that you would like to exercise any of the above rights or submit a complaint about how your personal data has been handled, please contact the Data Protection Officer at or in writing at, Systec Limited, Centenary House, 172, Canon Road, Santa Venera, SVR 9034, Malta.

 

If you still feel that your personal data has not been handled appropriately according to the law, you can contact Data Protection Commissioner (www.idpc.gov.mt)  and file a complaint directly with them.
